2. Goals (short / intermediate term)

2.1
To develop/ameliorate knowledge about shipping matters in general and the topic of supplying ships with stores
and spares
2.2 To keep up to date with changes of the “special” conditions prevailing to supplying spares and stores in West Africa

3. Job’s main role

3.1
Receiving and processing requisitions from vessels for consumables and spare parts. Ensuring that all requisitions are
handled in a timely manner, obtaining quotations paying special attention to urgent requisitions. Placing priced
order with most competitive sources, negotiating best possible prices and obtaining approvals from vessels
superintendents as required in accordance with the Company Purchasing Guide. Make sure all items are supplied to
the vessel with the required certificates.
3.2
Being aware of the Company’s latest contractual and negotiated terms with the suppliers. Participating in supplier
meetings and instruction of new Captains/Chief Engineers (if required).
3.3
Ensuring that data in the purchasing systems is current at all time, keeping the purchase order files and records up to
date.
3.4
Monitoring the progress of the purchase orders, ensuring that all stipulated delivery times are met, reminding
suppliers as necessary.
3.5
Determining the vessel supply port and, as necessary, to ensure supply at most convenient / economical port. Orders
consolidation in order to minimize transport and handling costs. Arrange shipment of goods by airfreight, seafreight
or courrier, preparing the necessary documentation. Notify the vessel and the agents and follow up receipt and
delivery on board.
3.6
Checking and approval of invoices to make sure they are in accordance with established terms and conditions.
Reviewing and resolving disputed with suppliers concerning price / quality/ quantity of goods supplied to the vessel.
3.7
Replacing absent colleague(s) as per instruction of the Purchasing Manager (back up of absent colleagues). Any
other duties in relation with the purchasing department as per instructions of the Purchasing Manager.

4. Qualifications required

Desirable Required
4.1 Basic education:
Ability to communicate and write in English/French (English is
the working language of the Company)
Computer literate
Commercial training

4.2 Complementary education, specialization:
Team player, initiative, autonomous/very reactive and
organized, precise, flexible, analytical, problem solving, time
management, ability to work under pressure and stress and
willing to work from time to time outside normal office hours as
required in the shipping industry

4.3 Required experience:
Experienced similar position or commercial over some years
(min.3-4yrs)

4.4 Particular knowledge: from shipping or international company
