GENERAL JOB DESCRIPTION:

The primary responsibility of this position is to provide general human resource, administrative and clerical support to the Human Resource Department. Requires the ability to manage multiple priorities, change direction at a moment’s notice and handle the stress associated with working in a highly confidential environment.

ESSENTIAL JOB RESPONSIBILITIES AND DUTIES:

HR ADMINISTRATION

Answers employee questions about human resources policies and procedures, and refers to specialist as needed.
Responsible for various HRIS Employee Masterfile Updates in ADP and SAP for regions.
Maintain supply of new hire and other employment related forms and prepare packets for new employee orientation.
Coordinates Foss’ Volunteer and Wellness Programs.
Event Coordinator – Holiday parties, retirements, etc.
Respond to requests for verification of employment.
Respond to requests for Unemployment verification from third party vendor.

ADMINISTER DRUG AND ALCOHOL POLICY

Coordinates appointments for drug testing with clinics or on-site.
Receive and record test results in ADP.
Maintain a good filing and record keeping system in compliance with United States Coast Guard regulations.
Notify appropriate staff of results. Handle positive test results per DOT and USCG regulations.
Order supplies.
Update and distribute Foss Drug and Alcohol Policy when applicable. Ensure Foss maintains compliance with DOT and USCG regulations regarding Drug and Alcohol testing.
Process and track monthly invoices and reconcile any discrepancies.
Keep employee and boat list up-to-date with AMS.
Track Medication Review Forms.
Track New hire verification for employment background check.
Coordinate Mandatory Referrals with EAP.

BENEFITS ADMINISTRATION

Administer COBRA and collection of premiums.
Run Birthday List and process birthday cards for managers.
Responsible for the administration of smoking cessation, employee health screenings, corporate fitness program and flu immunizations.
Administer Scholarship Program.
Coordinate Blood Drive .
Coordinate EAP Events/Educational Classes.

GENERAL OFFICE SUPPORT

Provide general support to HR Staff as required.
Provide backup support to front desk and mailroom.
Assist with various employee communications/mailings.
Responsible for other projects as assigned.
Maintain employee files for shipyard and salaried personnel and other miscellaneous departmental files and records. Responsible for Archiving records per Foss’ Retention Policy.
Adheres to all company policies and procedures.

KNOWLEDGE OF:

Very strong HRIS experience, preferably ADP and SAP.
Proficient knowledge of Microsoft Excel, Word for Windows, and Visio.
Knowledge of general office procedures required.
Knowledge in the use of routine office equipment such as telephone, Personal Computer, fax machine, and copier is required.

SKILLS AND ABILITIES:

Must be able to manage multiple priorities with frequent interruptions.
Must be able to handle confidential and sensitive Company information. Majority of tasks are performed in a confidential environment.
Must be able to understand and follow instructions, both written and verbal.
Must be able to communicate with employees, supervisors and job applicants both in person and by telephone. Position regularly interacts with people.
Must be detail oriented and able to learn new tasks.

EDUCATION/WORK EXPERIENCE:

Bachelor’s Degree in Human Resources or related fields. PHR certification is a plus. 3 – 5 years of Prior experience in Human Resources field is desirable.
